When do you have them sign the lease and send about due? Move in date? or can this happen before hand to secure the deal.

That is up to you. As a convenience you can have the lease signed and move in monies paid prior to the move in date, so the tenant can start moving in as early as possible on the actual move in date. Or you can do everything on that date. If you choose to have the lease signed early, don't give keys until the actual move in date.
