Document Description Selecting new tenants for a soon-to-be-vacant rental property is never easy, and the process is all the more difficult if you’re losing good tenants, as well. Use this form to acknowledge your receipt and acceptance of the tenant’s request to vacate. The letter reminds the tenant that you will be showing the property to prospective tenants in the near future, and asks that the tenant begin the process of cleaning and otherwise readying the property for tours. Instructions for security deposit return and a request for a forwarding address are also included. Who: Existing tenants who have notified you of their intent to vacate the property. What: Acknowledgement of tenant’s intent to vacate and reminder of the subsequent steps they need to take. When: As soon as you have received notice of a tenant’s intent to vacate, before you begin showing the property to prospective tenants.
