Rental unit condition reports, also known as Move-in Move-out Walkthrough Checklists, are imperative to the tenancy process. In Manitoba, the prescribed form is known as the “Form 5-Rental Unit Condition Report”. Although this form is a prescribed one, it is not a required form. An inspection form such as this easy to use form can clear up any confusion or disputes between the landlord and tenant. The rental unit condition report will allow the landlord and tenant to walk through the rented premises and list the condition of each area of the leased premises.

There is even a section specifically noted for smoke alarms. It is very beneficial for a landlord to have proof such as a written report like this that smoke detectors are in working order. In the event that a tenant tampers with this equipment and a fire occurs, having this signed document adds a bit of security to the landlord’s liability. The form also states that the landlord or agent and tenant will inspect the smoke alarm at least once a year.

IMPORTANT: This form is to be completed in the beginning and end of the tenancy. The tenant will keep the original, and the landlord is to receive a copy. Both parties should keep this amongst their important files. Landlord may keep it with other files such as the lease for each particular tenant.

Remember, that this form is designed to document the condition of a rental unit at both move-in and at move-out, to determine what damage the tenant caused upon move-out compared to any existing as recorded at move-in. Ideally, the landlord and tenant are to complete this inspection checklist of the leased premises together at move-in and move-out.

TIP: Landlord can print several copies and keep them on hand. This way you will always have them on hand and can do an inspection more readily.
